The logistics coordinator will perform administrative tasks, human resources-related responsibilities, document control, training coordination, clinical research support, and logistics functions. They will also ensure smooth operation of WRAIR AFRIMS Philippines - Manila laboratory and support various projects and activities; coordinate shipments, delivery and distribution of supplies and equipment needed on-site; performs inventory, tracking and coordination of all property and equipment; oversees the maintenance of all equipment, and physical infrastructure at WAP Manila.
1. Handles a wide range of secretarial and office tasks.
a) Prepares written correspondence. Reviews all outgoing correspondence and messages for proper grammar, spelling, and format as per procedures;
b) Prepares reports, forms, minutes of meetings, and other documents;
c) Makes sure documents are prepared, filed, shared, and kept safe;
d) Handles and maintains official and unclassified materials/departmental files;
e) May be asked to go to meetings or events for senior staff;
f) Helps set up office systems and routines;
g) Maintains contact information, CVs, and certificates of collaborators, stakeholders, consultants, and investigators.
h) Makes sure the office stays clean and well-kept.
i) Assist as needed in preparing and consolidating data for budgeting of research projects.
j) Coordinates with staff and other sections on administrative and operational matters, such as personnel, accounting, purchasing, building maintenance or repair, and telephone services.
Bachelor’s degree in Business Administration, Office/Operations Management, Public Health, Laboratory/Clinical Administration, or related field (or equivalent experience).
2+ years of progressive administrative/secretarial support in a busy, multi-stakeholder environment (e.g., research, healthcare, laboratory, university, NGO, or government).
Fire Warden/Marshall certificate and Basic First Aid/CPR.
Short courses in GCP/ICH (awareness level), Biosafety (intro), or Records Management.
